Recruitment Software Implementation Guide

With so many recruitment software packages available how do you decide which solution is the right one for you?

As with any software selection process, you will need to draw up a list of your key system requirements, categorising them into 'Essential' and 'Desirable'. Your list of requirements should also ask the vendor to establish whether each item is 'Standard', 'Standard but may require configuration', 'Not standard and would require configuration' or 'Not available'. To ensure success of the project you will need to gain buy-in from the outset so it is important to create the list with those members of staff who will be involved in using the system and any other stakeholders to the system. Prior to putting together a list of your key requirements, consider the following questions:

  • What do you like about your current system (if you have one)?
  • What don't you like?
  • What is your budget or budget range?
  • Does the system need to integrate with your HR and Payroll systems or any other internal systems?
  • Are your requirements likely to change in the future and if so will the system continue to meet your needs?

If you have not already done so, appoint an internal Project Manager to champion the project. Once you have received and reviewed responses from each of your chosen suppliers, draw up a shortlist and arrange demonstrations of each of the recruitment systems.

In addition to the functionality of the recruitment software, you would be wise to consider the credentials and financial stability of the supplier. How many years experience does the supplier have in providing recruitment software solutions and are they able to provide suitable reference sites and/or case studies?

Following the demonstrations draw up a final shortlist and request detailed proposals from each of your chosen vendors. You may wish to request reference sites at this stage of the process to assist in your final selection, you may even want to organise a further demonstration of the recruitment software following your review of the proposal which should clearly detail the suppliers understanding of your requirements.

On final selection be sure that a project plan has been drawn up between yourself and the supplier detailing each stage of the implementation process and training plan. A project plan which is regularly reviewed will ensure key milestones are met and that your project is delivered on time and on budget.
