Client Support - Implementation Phase

The following information aims to describe each of the stages of the implementation phase in more detail.

Project Administration

The key to a successful implementation of your TeamSpirit HR and Payroll software system is a well-defined System Implementation Plan (SIP), which is developed jointly with you.

The SIP is updated as the project proceeds and sent to you on a regular basis. It covers all aspects of the project such as software installation, data conversion, training, system acceptance and associated consultancy.

Subsequent Project Review meetings will be held on your premises at key stages throughout the project to ensure that the whole process runs as smoothly as possible and that key milestones are being met to your satisfaction.

A final System Review meeting is usually held towards the end of the implementation phase to complete the project.

Implementation Meeting

At the start of the project a formal Implementation Meeting is held to discuss and plan the project taking into account your specific requirements.

Your Account Manager will introduce you to, and formally hand the project over to the Client Services team. Your Account Manager will of course still be involved in your project but all day-to-day contact that takes place will now be through Client Services.

Installation

A member of our team will install and set up the TeamSpirit HR and Payroll software, plus any other modules that you decide to purchase on your site.

The installation may also include creating printer profiles and the testing of feedback agents.  For systems that include Time and Attendance this function will also cover the configuration and testing of your data collection terminals.

Import and Export of Existing Data

In most cases we will also be able to import the data from your current HR and Payroll system into TeamSpirit.  This will need to be discussed as a separate issue to installation and will be chargeable.

Training

Anchor Point:TrainingYour training plan contains details of all the standard training courses that are required for the Human Resource software modules of TeamSpirit you are planning to use including Payroll, Time and Attendance, P11D, Recruitment and HR. Because training is normally carried out on your premises this is based around your own data wherever possible.

Your trainer will usually be with you for your first parallel payroll run so that any concerns can be resolved as quickly as possible.

Consultancy

You may require a Bond TeamSpirit Consultant to undertake some additional configuration of your integrated HR and Payroll solution to meet your specific requirements using the software's in-built system tools. These can be used to set up screens, reports or calculations that are unique to your business.

At any time you may request a special consultancy day to cover any aspect of TeamSpirit HR software in more detail. This may also take the form of a 'health check day' where we examine the way you are using TeamSpirit, and in conjunction with yourself recommend operational improvements to ensure that you are maximising the use of your TeamSpirit software.

System Review

Towards the end of your TeamSpirit HR software implementation phase a System Review meeting will be held on your premises. The purpose of this is to review the project and make the final arrangements for completion of the project.
The main aims of the meeting are:

  • To review the project to date
  • To answer any questions you may have and to report back on any previously raised points
  • To help the members of staff who will be using TeamSpirit on a day-to-day basis
  • To ensure a smooth and trouble free transition from your previous system to TeamSpirit
